What is a Custom Export?

Lumi supports exporting card content into custom layouts with Microsoft Word templates using Mail Merge. Custom exports are a feature available to all projects, and the Mail Merge features provide superior control in producing quality custom reports and documents.


This allows you to export the desired content from a range of cards in a format of your choosing. 


Request a Custom Export Template

Lumi can provide support services for producing custom templates for your project. To enquire, contact support@lumi.media. In most cases, we can reproduce existing documents for your current project. We may ask you to provide some of your existing reports as a guideline.


Upload your Export Template to Lumi

Once you have received your custom export template from Lumi Support, it will need to be uploaded to your project.


1. Click your avatar on the bottom-left to see the User menu.

2. Select "Project Settings".

3. Then select the "Exports" tab.

4. Click the + button on the top-right.

The "Add a new Export" dialog will open.

5. Enter a name for your custom export template.

6. Select an icon to represent your report. 

7. Click "Add File" to search your computer for your custom export template, or drag and drop the file onto the dialog. The file must be a Microsoft Word document, not a PDF.

8. Click "Add".


Your custom export template is uploaded and ready to use!

Note, the field names in the project must match the template's merge fields. After the template has been set up, if you alter any field names, they won't merge until you also update the export template to match, and then re-set the updated merge fields in MS Word.


Run your Export

You can run your custom export on a single card, or on a selection of cards.


Run Export on a Single Card

Open the card you want to run the report on.


Click the three dots on the top-right of the card to open the action menu.

On the action menu, click the report that you want to run.

The following message will display briefly on the bottom-left.

Your report will run, and will be delivered to you as an FYI in a few seconds.

Note, you may need to refresh the browser to receive the report. The notification bell will highlight once it has been received.


Run Export on Multiple Cards

You can run a custom export on a selection of cards, either from the library, or a list or board. The following screenshots show the report being run from a list, but the process is the same on a board or the library.


Select the cards you want to run the report for. The bulk actions menu will open on the right. 


Scroll down the bulk actions menu to find your custom report and click it.

The following message will display briefly on the bottom-left.

Your report will run, and will be delivered to you as an FYI in a few seconds.

Note, you may need to refresh the browser to receive the report. The notification bell will highlight once it has been received.


View your Report

To view your report, click on the notification bell on the sidebar.


The notification centre will open with the most recent message at the top.


You can either click to "Download" the report, or "Open in Microsoft Word", which will open your report in a new tab.


From here, you can edit your report if desired.

Click "File" on the top-left to download your report as a Word doc or PDF.

The following options will open.


View your Export Template

To view your export template:

1. Click your avatar on the bottom-left to see the user menu.

2. Select "Project Settings".

3. Then select the "Exports" tab.

4. Click the settings cog on the report that you want to view.

5. Click "Open in Microsoft Word".

The template will open in a new tab. You can view the formatting and the merge fields here, but if you want to change the formatting and merge fields, please contact support@lumi.media.


Edit your Export Template

If you want to change the formatting of your custom export template, or want to add, remove or change some of the fields, please contact support@lumi.media.


Edit Template Name or Icon

You can edit the name of your custom export template, and the icon that represents it, in Lumi project settings. This will update the icon and name you see in the menu when you run your report.


Go to Project Settings, then select the "Exports" tab.

Click the settings cog on the report that you want to edit.

Click "Edit Export"

Click on the icon to choose a new one.

You can enter a keyword to search for a new icon.

Edit the template's "Name" as desired.

Then click "Update". 


Replace your Export Template

If you have requested changes to your custom export template, you can either upload it as a new template (see "Upload your Export Template to Lumi" above), or replace the old template.


To replace the old template, go to Project Settings, then select the "Exports" tab.

Click the settings cog on the report that you want to replace.

Select "Replace Export".

Click "Add File" to search your computer for the updated template, or drag and drop the updated template onto the dialog.

Click "Replace".

Your updated template has been saved.


Delete Export Template

You can delete an export template from your project.


Go to Project Settings, then select the "Exports" tab.

Click the settings cog on the report that you want to delete.

Click "Delete Export"

Then Click "Delete" and "Confirm".
