What is Lumi?
Lumi is a collaborative work management software that is specifically designed for production teams. It is created by producers for producers and manages your entire workflow from casting and crewing, through to production and post production.
Your team moves fast, and Lumi can help you keep up by ensuring everyone, from the top down, is on the same page. Lumi's unique functionality makes it easy to use and easy to share what you're working on with the rest of your team.

What is the Project Dashboard?
Your Project Dashboard is your project's "Home" page. Project dashboards are highly customisable, and give you complete control over what, where, and how your work is displayed. Display your latest content, today's plan or any important information, front and centre, so your whole team is on the same page. Dashboards update automatically with real-time data.
When you make changes to the Dashboard it is reflected for the whole team. You can create multiple Dashboards if different team members want to create their own view.
Return to your Dashboard from anywhere in the Project by clicking the "Home" icon in the sidebar.
What are Cards?
Cards are the basic building blocks of Lumi. They are live, agile spaces that can be customised to your workflow. If you are used to working in traditional files and folders with documents and spreadsheets, Lumi cards will replace all of those and give your team a more efficient way to work.
You can configure your cards to track anything you want: Clients, Talent, Applicants, Crew, Locations, Shoots, Episodes, Ideas, To-Do’s etc. You can store all information related to that entity on a card: contact details, documents, pictures, video and audio files, communication, web and social media links, time-coded logs, etc.
You can use cards to collaborate on a variety of content with your team. When you update a card it updates in real time for your collaborators.
Assemble your cards into lists, boards, and customise your view. When you update a card it updates everywhere that card is being used, so there is no duplication of effort, and nothing is lost.
Cards are perfect for recurring or daily content, such as Episodes:

Card Categories
Card categories are a way to group and separate your cards. Each category can have its own colour, templates and custom fields.
Here are some examples of how card categories can be used:
- If you have LOCATIONS as a Card Category, Bondi Beach would be a Card within that Category
- If you have TO DOS as a Card Category, Organise Christmas Party would be a Card within that Category
- If you have CLIENTS as a Card Category, Coca Cola could be a Card within that Category
- If you have ACTORS as a Card Category, Nicole Kidman would be a Card within that Category
- If you have EVENTS as a Card Category, Fashion Week would be a Card within that Category
- If you have RESEARCH as a Card Category, the Environmental Cost of Paper could be a Card within that Category
Custom Fields
Fields are values on a card that store information. Most card categories come with some relevant default fields, but you can create your own custom fields and add them to any card category, to record and track whatever you need for your project.
Fields add searchable and filterable context to your cards.
Fields are completely customisable and a great way to track and sort a limitless amount of things such as:
- Task Status (To do/ doing / done)
- Responsible (Lisa / Georgia / Bianca / Tom)
- Availability (yes/TBC/not avail)
- Paperwork status (pending/sent/TBC/complete)
- Ratings (a/b/c or 1star/2star/3star)
- Decisions (yes/no/maybe)
- Pitch Results (lost/won/TBC)
- Dates (DOB, shoot dates, deadlines)

What are Lists?
Pull your cards into a list for a powerful and instant overview of your work. The overview is automatically populated from the work itself, not a static spreadsheet, removing unnecessary duplication of work. Update cards on the list and it updates everywhere. Decide what you want to see, how you want to see it with custom columns.
AutoLists
You can create a list by manually selecting the cards you want to show on the list. Or, you can use AutoLists to create a List instantly, displaying all cards of a specific category, and even with specific field values. For example, you might want to create an AutoList of all applicants (category) that are female (field) and brunette (field).

What are Boards?
Get rid of the huge whiteboard and start planning your projects on a live Lumi board, accessible to your team from anywhere at anytime. Boards are a place to arrange your cards, just like you would post-its or cards on wall. You can also add text, images and media to boards.
Grid Boards allow you the flexibility to place cards wherever you like. These are great for pitching, putting a mood board together, or comparing options.
Column Boards allow you to organise your cards into columns. Perfect for planning days, building a rough edit, running orders, that are accessible online for everyone to see.

What are Kanbans?
Kanbans are an amazing feature that allow you to create an immediate view of your cards based on a specific field. They are a great way to get a status overview of your cards.
Pick any multi-choice or single choice field to create your Kanban. For example, you could create a Kanban for applicants based on their rating. When you drag your cards to a different column on the Kanban, it will automatically update the field value on the card.

Lumi Casting
Lumi Casting is a collaborative, end-to-end platform for Casting, created for producers, by producers. From the initial call for talent, to the final casting decision, Lumi has you covered.
- Create a custom, branded application form.
- Automated emails are sent to applicants throughout the Casting process.
- All applicant information is visible and accessible from the moment it hits the centralised inbox.
- Teams can effortlessly manage candidates and communicate with them at scale.
- Customised applicant cards are automatically created for each application.
- Real-time audition notes enable better collaboration.
- Decisions made are captured immediately in one place and available throughout the project.
- A built-in fee recovery option, enables cost recovery or even revenue generating applications.
Applicants will arrive directly to the Lumi Inbox, with all the information, photos and documents captured in Casting recorded on their card. The Inbox can be customised to display a snapshot of the information most relevant to your decision making:
Casting is a feature that must be enabled in Project Settings before it can be used. If you can't see Casting listed in Project Settings, please contact support@lumi.media to have this feature switched on for your Organisation.

Communication Centre
The Communication (Comms) Centre allows you to communicate with your Applicants, Talent, Crew and Clients, in bulk or individually. Send emails, SMS, questionnaires or publish files to the Lumi Companion App.
You can also send files and request files via the Comms Centre. When you request files, such as paperwork, videos and images, the returned files will be uploaded directly to the Applicant/Talent/Crew's Card, without all the back and forth over email.
The Comms Centre is accessed on the sidebar.
All your communication is recorded for easy access on the Comms Centre, and added to the individual's card.
The Comms Centre must be enabled in Project Settings.

Lumi Companion App
The Lumi Companion App is an extension of Lumi's Communication Centre, and allows you to disseminate information and documents to non-Lumi users, such as Crew, Applicants and Talent. The information will display on the App, so that all documents are in the one place, and the person doesn't have to sift through emails or messages for the most up to date information. A record of all published documents is kept on the individual's card.

Currently, teams will need to contact support@lumi.media to have this feature enabled. Once enabled for your organisation, the feature can be turned on for each project you wish to use with the App.

Searching Lumi
The Lumi Library is where all your cards, images and files for the project are stored.
To access the library click the bookcase icon on the sidebar menu.
From here you can click the relevant tab to search either cards, images, files, logs or contacts.
Search by typing a keyword in the search bar and hitting the enter key. Or, filter by expanding "Advanced Search" on the right-hand side and selecting your filter parameters.
You can save your most frequent Lumi searches to the Sidebar menu and the Dashboard for quick access. For example:
Sidebar Search
The sidebar search is a quick and useful tool for navigating Lumi. You can view or search for cards, boards, kanbans or lists, or view all items in a particular set. You can also see all recently used items.
Click the magnifying glass icon in the sidebar menu to open the sidebar search
Search by keyword, filter by category, or expand the relevant section to view all Recent Items, Boards, Kanbans or Lists.

Microsoft Office Integration
Collaborate with your team live and instantly on Microsoft Online. Create, store, upload and edit Microsoft documents within in Lumi. Update a document and it updates everywhere - no need for downloading and re-uploading.
Vaults
Lumi Vaults allow you to control who can see what in Lumi. Keep selected documents, cards, lists or boards private, or for executive eyes only. Staff only need to see what is relevant to them.
Zoom Integration
Lumi integrates with Zoom, allowing you to schedule meetings with individuals or teams directly from a Lumi card. Any recordings of the meeting will be uploaded to the card once they are available.
Zoom integration is a feature that must first be enabled. Contact support@lumi.media to enable.
