What is a Kanban?

Lumi Kanbans are an amazing feature that allow you to create an immediate view of your cards, in columns, based on a specific field. 


How can I use Kanbans?

Kanbans are completely customisable and enable you to easily track and sort things such as:

  • Task Status (To do, doing, done)
  • Responsible (Lisa, Georgia, Bianca, Tom)
  • Availability (yes, no, TBC) 
  • Paperwork status (pending, sent, TBC, complete)
  • Ratings (1star/2 star/3 star)
  • Decisions (yes, no, maybe)
  • Pitch Results (lost, won, TBC)
  • Dates (DOB, shoot dates, deadlines)


I can instantly create a Kanban based on any one of the single choice or multiple choice Card fields in the screenshot below.

For example, here is a Kanban created on the "Rating" field, allowing me to see at a glance all the candidates and where they are in the rating hierarchy. 

I can also select other fields to display on the Cards for a more complete overview. In the example below, I'm displaying the fields "Relationship Status", "Age", "Personality Type" and "State". You can select to display any combination of fields that are important to you.

A great feature of Kanbans is that when you drag your cards between columns, it will automatically update the field value on the card. In the example above, if I move a person from column B to column A, their "Rating" field will automatically update to "A".


The following Kanban is created using the "Paperwork Tracker" field. It immediately gives me an overview of where all the paperwork is at. I can simply drag a card from one column to another to update its paperwork status. Also, if I update the "Paperwork Tracker" field directly on a card, it will automatically move them to the correct column on the Kanban.

Here's an example of a Kanban used to track a Crewing project:

This is an example of a Post-Production workflow Kanban tracking Episode Status. It also displays the fields "Location", "Producer" and "Duration".

You can toggle the Kanban to small card view if you want to see more cards in a single view. 


How to Create a Kanban

Creating a Kanban is really quick and easy! 

Note, you will need to have a least one single choice or multiple choice field to sort by. If you don't have any fields yet, speak to support@lumi.media who can help you to set them up. 


1. Click the plus (+) sign on the sidebar menu, then select "Kanban".

The "Add Kanban" dialog will open:

2. Enter a suitable name, and select which field you want your Cards sorted by. In the following example, I want to see Talent sorted by their "Rating".

3. Choose your Access.  You can either leave it as the default ("Everyone in this project") or save it to your personal vault or a team vault.

4. Click "Add & View". 


Voila! An instant overview of your Cards based on their "Rating", or any other field that you want.

Display additional fields on your Kanban

To give a more detailed overview of your Cards, you can display a selection of additional fields on the Kanban. In the example below, I'm displaying the fields "Relationship Status", "Age", "Personality Type" and "State". 


To select the fields you want to display: 


1. Expand the toolbar by clicking the arrow on the top-right.

2. Select "Fields".

3. Toggle on (blue) any fields you want to display.

5. Click outside of field selector to close it.


If the Cards have a value for the selected fields, they will display.  Note, you might need to refresh your browser for the fields to display.


Moving Cards on a Kanban

To move a card on a Kanban simply click and drag it to a new column. It will automatically update the field on that card.  If you update the field from within a card it will automatically move it to the corresponding column of the Kanban. 


If your kanban is created on a multiple choice field, when you drag a card to another column it will ADD the destination column's field value to the card, rather than replacing it. The card will then display on both columns. For example, dragging "Fiona Wolf" from the Actor to Dancer column has updated her "Talents" field to "Actor, Dancer" and she appears on both fields.

Resizing Cards on a Kanban

If you want to see more cards at a glance, you can easily resize them. 

1. Click the arrow on the top-right to expand to toolbar.

2. Click "Size".

This will remove the card image but display the card name and any fields you have toggled on.

You can toggle between large and small card size as needed.


Add a Kanban to your Dashboard

You can make it easier for you and your team to access an important Kanban by adding it to the Dashboard.
